Overview of memoQWebTrans
Usage
memoQWebTrans is the memoQWeb module that allows online access to the translation functions of PRODOC’s memoQ server.
Purpose
memoQWebTrans provides a reduced set of functions compared to the memoQ desktop software.
It runs in a browser and can thus be used without installation.
Therefore memoQWebTrans is ideal for:
- Translation of short texts
- Translators and reviewers who do not want to install the desktop application
- Translators and reviewers who want to use e.g. a tablet or a Mac
In order to be able to work in memoQWebTrans, documents must be assigned to you.
memoQWebTrans offers support for all languages
memoQ is Unicode-based and offers functions for fonts that run from right to left. memoQWebTrans can therefore be used for all languages.
memoQWebTrans for all industries
memoQ is a CAT tool and predestined for the translation of all texts that occur in many variants and versions. It offers functions for recognizing similar texts and specified terminology. These are important functions for technical texts from all industries:

MemoQWebTrans shows all files assigned to you under My tasks
You cannot create a view as in memoQ desktop.
For every file you want to edit, a separate window will open
Additional information on your jobs

You can identify all files belonging to a project by their corresponding project number. You may also use the Group by project option.The project number is always specified in our orders. |

memoQWebTrans user interface
Overview
The memoQWebTrans user interface provides most functions for translating and proofreading documents on the PRODOC memoQ server.
- The Menu bar shows operations for the current segment
- The Translation grid shows the text to be translated, divided into segments. Each segment is stored in a translation memory and will be re-used for further translations. A detailed description of the functionality can be found here.
The current segment is highlighted in orange at the left side of the segment (no. 80 in the screenshot above).
The segment status is displayed to the right of the segments. The meaning of the icons is also explained here. - The Translation results pane shows search results. The content of the current segment is compared with contents of the translation memory (marked in red) and contents of the terminology database (marked in blue). More information regarding the translation results list can be found here.
- The View pane can be shown or hidden using the corresponding button in the menu bar. More information can be found here.
- Depending on the selected button (5) it can show:

Translate using the memoQWebTrans editor
Overview
This sections contains specific information regarding translation of documents using memQWebTrans.
After logging in to memoQWeb, you will see your active translation tasks in the Online tasks
list.
Your translations jobs are designated by the word Translation and the language combination in the Online tasks

Requirements for translation
Identify segments to be translated
Move between segments
Upon clicking on the Jump to
icon a dialog box is shown that lets you jump to the next row (click on Down
) or previous row (click on Up
) to be translated.
Use the settings as shown in the screenshot.
Upon confirming a row, memoQ will automatically jump to the next row to be translated acc. to these settings.
Check segment status information
The segment status is shown by the color and corresponding icon in the rightmost column of the translation grid
A green background shows a translated segment.
Rules for already translated segments
Translated segments may have the following status:
Segment status | Meaning | Your actions |
Translator confirmed | The segment has been translated and confirmed by you or by PRODOC staff in the course of the current project | Only change segments translated by PRODOC staff after consulting with us |

Change requests for locked segments
Segments with a gray background cannot be edited.
Their status is either locked (locked
) or Reviewer 2 confirmed
.
If you think that a segment with gray background should be changed, please start a discussion by clicking on the Discussion
icon.
The pop-up window Start a discussion opens:
- Enter a summary with only a few words
- Give a brief description of the problem
- Suggest a solution
- Assign the discussion to your PRODOC contact person
- Click Create
The PRODOC project manager will receive an email with the details you just entered. The email also contains a link that will open the segment with the problem in memoQWeb
Translate segments
Translations are entered into the right column of the translation grid.
First enter your translation without confirming it
- This enables you to check your own translations in a second step without confusing them with translations entered by PRODOC staff.
Use result window for consistent translation
The translation results pane shows Translation Memory hits with a red background and Term Base entries with a blue background.
- Use these hits for your translation!
Non-translatables are shown with a gray background:
- Copy these unchanged
Use TM hits (red background)
- If, for the current segment (1), a hit is shown in red (2), check the percentage (3) and the TM origin (4).
- Double-click on the matching hit (2) to transfer the content to the segment (1)
- Compare the TM entry (5) and its translation (6) and adjust the translation of the current segment (7) accordingly
Determination of TM origin for PRODOC projects

Use TB hits (blue background)
If the source text contains terms for which a translation exists in a term base, these terms are highlighted with a light blue background in the source text (1).
The suggested translation of all of these terms is shown in the Translation results
pane (2).
f you click on an entry in the Translations results pane, the entire entry and the term base it originates from is shown below (3).
- Enter a term into the translation grid by double-clicking on it.
Naming conventions for term bases and allowed actions
Name | Meaning | ToDos |
Customer_check | The term base contains obligatory terms provided by the customer. | These terms must be used. Never add or change any of these terms! |
Customer_von_Customer | The term base contains terms provided by the customer. | These terms should be used, if possible. Never change any of these terms! Never add any term to these term bases! |

There might be more term bases added to a project, especially term bases representing software GUIs.

Translate manually
- For all segments without suitable hits enter your translations manually into the translation grid
- Jump to the next segment using the
Jump to
button or theSTRG+G
keyboard shortcut - It is advisable that you should not confirm segments until you have translated the whole document
Checking and confirming your own translations
- Go to the first segment in the document
- Using
Jump to
, move to the first unconfirmed segment - Proof-read your own translation and confirm with
STRG+ENTER
when you are happy with your translation
If, after confirming, a warning icon is displayed in the confirmed segment:
- Double-click on the warning icon to view its meaning and correct the segment accordingly.
After you have checked your translation, all segments have to be confirmed and all warning icons have to be removed/ignored.
Completing a translation job

Close the memoQ editor
- Close the tab or click on the top right of the window

Overview
This sections contains specific information regarding review of a translation (review in accordance with ISO 17100) using memQWebTrans.
After logging in to memoQWeb, you will see your active translation tasks in the Online tasks list.

and the language combination (highlighted in yellow) in the Online tasks

Requirements for review
In addition there are customer-specific requirements that can be found in the Customer Info section of our Wiki (password-protected – ask PRODOC for password)
Identify segments to be translated

Rules for proof-reading
Check
For each segment:
• Check correct grammar and spelling
• Check that numbers and tags in source and target segment are identical and at the correct position in the translated text
• Check that terms from term bases are used appropriately
• Check that the content of the source text is translated correctly
Correct
One check mark (Translator confirmed
status)
These are segments that have been translated in the current project.
If necessary, segments with this status can be corrected without double-checking with PRODOC.
• Enter your corrections and confirm using CTRL+ENTER
One check mark with a plus sign (Reviewer 1 confirmed
status)
You can but should not change these segments. They have already been reviewed by another person.
If you still think that reviewed segments should be changed:
- Please start a discussion by clicking on the
Discussion
icon.

- Click on
Create
The PRODOC project manager will receive an email with the details you just entered. The email also contains a link that will open the segment with the problem in memoQWeb.
PRODOC will check all discussion items after receiving the reviewed file and decide whether the changes should be implemented or not.
Change requests for locked segments
If you still think that a segment with gray background should be changed:
- Please start a discussion by clicking on the
Discussion
icon.
Complete review job
Checks to be performed
Make sure that you have followed the general Translation Guidelines for PRODOC and the customer-specific Guidelines contained in our Customer Info section (password protected).
Close the memoQ editor
- Close the tab or click on the top right of the window
Deliver translated/reviewed files
After you have finished a translation or a review job, you have to deliver the files.
Final checks
Make sure that you have followed the general Translation Guidelines for PRODOC and the customer-specific Guidelines contained in our Customer Info section (password protected).

Rules for proof-reading
Which segments have to be checked?
- Only check segments with a white background (yellow rectangles in the screenshot above).
Only these segments have been translated during the current translation job.
Click the Jump to
icon to jump from one of these segments to the next.
Segments with a gray background cannot be changed, they have been approved in earlier translation projects.
What has to be checked?
PRODOC has already performed the following checks
- Check that numbers and tags in source and target segment match
- Check that terms from term bases are used appropriately
- Check that the content of the source text is correctly translated
What PRODOC cannot check
- Check whether the translation has the wording you want to use for your target group
Corrections
Before making a correction, note the following
Added/reduced content for your country
Translations are stored sentence by sentence in the Translation Memory.
Before you enter a correction: check whether the changed sentence still is a possible translation of the source text.
Otherwise the Translation Memory will be made useless.
If a complete sentence does not seem to make sense for you in your market and you want it removed, or if you want to insert information that is not given in the source text:
- Enter a comment using the Comment icon.
PRODOC will provide a list that contains these comments together with the translated document.
The marketing department of your headquarters can then pass on this information to the printing agency for manual insertion/removal of your text before printing. Thus the translation memory remains valid and you receive the desired texts in your print products.
Consistency with previous translations and the terminology
Use the Translation results
tab (red rectangle in the screenshot above) to check whether previous translations of similar texts exist. This is the case when more than one red entry exists.
For segments that have already been confirmed, the first red entry always represents the active segment.
- Other entries show existing and released translations
- The blue terminology entries show the intended translation of the source text terms
In the following example the sentence “Umfangreiches Produktportfolio speziell für die Verpackungsindustrie” has already been translated and approved as “Gamme étendue de produits conçus spécialement pour l’industrie de l’emballage”
You can see this with entry 2 in the following screenshot:
The only word that has been changed in the current text is “Intralogistik” instead of “Verpackungsindustrie”.
For the new word “Intralogistik” the term “intralogistique” is defined in the term base and has been used correctly in the translation.
There should not be any need to change the translation.
- Try to keep the current translation consistent with already approved translations.
Enter corrections
- Click in the segment you want to change and enter your corrections
The color for the segment status will change from green to orange.
PRODOC will double-check the changed segments and contact you if your corrections cannot be accepted for technical reasons.
Complete your review
Deliver
If you are finished with proof-reading click on the Deliver
button to inform PRODOC that your work is done.
If you made corrections, the following window will appear:
- Click
OK
This will send an e-mail to your PRODOC contact person.
Sign out
Click on the sign_out
button to close the application and release the floating license you have used.
